Donations

At various times throughout the school year, sponsoring organizations or individuals may wish to donate monetary amounts or a fixed asset to a specific campus or program.

Prior to accepting the donation, the principal must submit the Donation Report and Receipt form to the Community Partnerships Department to determine if the donation is acceptable to Round Rock ISD.

The principal should also notify the Fixed Assets Coordinator of all donated equipment so that the asset(s) may be tagged and entered into the fixed asset system. Generally Accepted Accounting Principles require that the asset be recorded at its fair market value at the time of the donation.

Board Regulation FJ has been amended to allow student organizations to solicit funds for recognized 501(c)(3) organizations so that they may satisfy community service requirements. All funds generated for the qualified 501(c)(3) organization must be donated to the organization and must benefit the organization as a whole (not a specific individual).

You are encouraged to use the organizations listed below as they have been approved by Financial Services as an IRS Section 501(c)(3) nonprofit organization.

  • If you wish to consider an organization not listed below, you must do the following:
  • Prior to the beginning of the fundraising event, request a copy of the determination letter from the organization which indicates their approved status as an organization that can receive donations for charitable purposes.

The determination letter should be forwarded to Financial Services for review and filing.

Proposals for any fund-raising activity must be submitted in accordance with the procedures outlined in the Fundraising Activities Procedures.

The Board realizes that community service is an integral part of the instructional process. An established bona fide student organization may adopt a community project with an entity qualified under federal tax law to receive donations for charitable purposes. These organizations must file a copy of their approved 501(c)(3) status with the Financial Services Department prior to the start of the fundraising activity. Adopted projects shall not benefit an individual or an organization without a 501(c)(3) status. Non-monetary donations to local government agencies (e.g.,county dog shelters) may be acceptable. Approval will be made on a case-by-case basis.

The Fundraising/Sales Application (pre-approval) and the Community Service Outreach (post donation) forms must be completed for all online, monetary, and in-kind donations requests. These forms should be forwarded to Financial Services.

  1. Donations via CoinStar and any other similar donation collection service. See Coin Collection guidelines.
  2. Campuses/groups may not accept gift cards.  Commission checks are acceptable as long as campus/groups receive detailed documentation that verifies the amount of commission owed and received.
